We are looking for an full-time Associate Director of Project Management. This person will be a senior lead, responsible for driving process improvement, operational excellence, and team leadership within the project management team. They provide strategic, technical, and managerial guidance, ensuring the successful implementation of brand and business objectives in the pharmaceutical marketing space. The role requires deep expertise in pharmaceutical marketing, client relationship management, and the ability to balance business objectives with operational efficiency. The Associate Director is ultimately accountable for high-quality deliverables that meet client and agency expectations, while also managing the finances and timelines of complex, multi-faceted projects.
Responsibilities:
- Champions the evolution of project management processes at Boundless by establishing best practices, ensuring consistency, and driving operational excellence across the team. While following a structured process, encourages out-of-the-box thinking and continuous redefinition of workflows to stay agile and innovative, especially when collaborating with cross-functional teams.
- Manages multiple projects simultaneously, including larger, more complex initiatives like websites, videos, iVAs, and other digital and creative deliverables.
- Owns more than one multi-million-dollar brand from a project management perspective, ensuring flawless execution and client satisfaction across all initiatives while balancing timelines, budgets, and client expectations.
- Serves as a key strategic partner to Boundless leadership and clients, offering insights and recommendations that guide both agency and client decision-making. Partners closely with the Account team to ensure that alignment on strategy, objectives, and key messages is communicated across all deliverables.
- Leads tactical planning and estimate creation in collaboration with Account and other internal teams, ensuring realistic and achievable financial forecasting, timelines, and resource allocation for every project.
- Develops and nurtures top talent by hiring, mentoring, and creating pathways for growth within the team. Builds a culture of accountability, innovation, and performance, positioning the team as a center of excellence within Boundless.
- Takes ownership of financial management for projects, ensuring accurate, real-time tracking of scope, budget, and profitability. Drives financial strategies that maximize revenue and efficiency while delivering on client expectations.
- Acts as a change agent within Boundless, advocating for process improvements and technology enhancements that streamline operations and elevate performance. Continually seeks opportunities to redefine project workflows in ways that boost creativity and efficiency.
- Provides clear, decisive leadership in all client-facing interactions, maintaining strong relationships with senior-level stakeholders and establishing Boundless as a trusted partner. Proactively manages client expectations and ensures alignment on all deliverables.
- Leads internal and client meetings with authority, ensuring strategic alignment, seamless execution, and that all parties are informed of status, risks, and next steps. Drives clarity and resolution, even in challenging or ambiguous situations.
- Anticipates and mitigates project risks by implementing risk management strategies and engaging cross-functional teams in solutions. Demonstrates the foresight and agility needed to prevent bottlenecks and delays, ensuring smooth project delivery.
- Builds and maintains strong vendor and partner relationships, ensuring that external resources meet Boundless’ standards and contribute to the successful execution of campaigns. Holds partners accountable for delivering high-quality results.
Helps shape the future of the project management team, aligning the team’s goals with broader business objectives and ensuring that project management practices support Boundless’ growth trajectory.
Qualifications:
- Expertise in pharmaceutical marketing regulations and Med/Legal processes.
- Strong analytical and problem-solving abilities, with a proactive approach to managing complex, multifaceted projects.
- Excellent leadership and conflict management skills, with the ability to influence senior stakeholders and drive consensus.
- Strong organizational skills with a keen attention to detail, ensuring that all projects meet quality standards and timelines.
- Ability to develop and deliver team training, as well as provide mentorship and career development support.
- High level of proficiency in digital project management, creative production, and cross-functional collaboration.
- Bachelor’s degree in a related field such as advertising, marketing, communications, or science/medicine.
- 7-10 years of experience in a pharmaceutical marketing agency, with a proven ability to lead complex campaigns and manage high-profile clients.
- Demonstrated experience managing and mentoring cross-functional teams in a fast-paced, high-pressure environment.
- Strong client-facing and communication skills, with the ability to provide direct, constructive feedback both internally and externally.
- Expertise in financial management, including budgeting, forecasting, and profitability management.
- Advanced proficiency with project management tools (MS Project, Monday.com, etc.), as well as a deep understanding of digital and creative production processes.
