About Smart Connection Consultancy
Smart Connection Consultancy (SCC) is a boutique consultancy practice based in Melbourne and providing consultancy services and event management across Australia. SCC also own the National Sports & Physical Activity Convention (NSC), which is Australia’s largest community sport and recreation conference and Expo and is staged in Melbourne annually. SCC also run a number of Summits and Seminars across Australia in an expanding its events calendar. This is a key role in a small team that will support the development of NSC and other events in the sports and recreation sector.
About the Role
Want to work in the sports industry? We are seeking a driven Events Coordinator to assist in the growth and development of this world class events program within the sports and recreation industry. The Event Coordinator will ensure the successful co-ordination and delivery of the events under the guidance of the General Manager – Events and work closely with suppliers, speakers, exhibitors, venues, sponsors and collaborators of the events.

Key Responsibilities
Reporting to General Manager – Events you will co-ordinate and manage the administration, logistics, communication with venues, speakers, suppliers and partners, assist with operations and delivery of the NSC and the smaller events annually. You will also play a role in developing marketing plans and materials, as well as some graphic/website design as required.
- To work directly with the GM Events to ensure that the operations for the events run smoothly and are well planned and executed in a manner that reflects the quality positioning of NSC Events
- Managing events (with the support of the team) from inception through to execution
- Set up & coordination of events in EventsAir (including registration, exhibitor & sponsor management, program management, reporting etc.) ensuring information is accurate and communicating with attendees
- Development of marketing materials i.e. social posts, written material for newsletters
- Ability to develop graphic content on Canva for social posts, onsite signage etc.
- Ability to edit and create websites on WordPress
- Speaker management and communication – communicating requirements with speakers and managing logistics
- Maintain strong relationships with key partners, collaborators and funding partners
- Communication with exhibitors, venue, suppliers and stakeholders as required
- Manage event and travel logistics
- Manage the event project action plan for the NSC and other events in conjunction with the GM – Events
- To liaise with the venue on aspects of the conference and expo, including operational aspects of venue hire, audio visual, catering and event delivery as required
- To assist with operational compliance obligations
- Work within the budget aspects provided
- Operate within the parameters of the quality system to minimise risk and maximise efficiencies in the conference
- Event Calendar Delivery – Work with the GM Events to deliver the annual calendar of events, that allow the NSC brand to be embraced locally across Australia and APAC
- Experience with software such as EventsAir and proficient in Microsoft Suite (Outlook, Word, Excel, Powerpoint, Teams, Dynamics)

Other Requirements
- Current driver’s license

- Enthusiasm
- Creativity in events and event management delivery
- Undergraduate degree that demonstrates relevance to job role and/or 1-2+ years’ experience in event coordination
- Experience coordinating expos
- Experience managing awards programs
- Software knowledge: EventsAir, Canva, WordPress, Masil Chimp, Microsoft Dynamics, Microsoft Suite (note proficiency in all is not required and training is provided)
- Interest/experience in sport, recreation, fitness, wellness
