Key Responsibilities

  • Manage, analyse, and report on quarterly order status for each Division. Ensuring all orders are shipped within the quarter for revenue recognize and On Time Shipment (OTS) metrics are met for each Division. Drive order cycle reduction and order processing accuracy. Work with Commercial and Customer Care to push for revenue pacing for each Division.
  • Review open orders and past dues for instruments, spares and consumables for Worldwide regions and take the vital actions to fulfil the orders.
  • Scheduling for Worldwide orders based on inventory availability and enabling prioritization to meet demand.
  • Collaborating closely with global planners or buyers to expedite part shortage to meet the order completeness and customer requested delivery dates.
  • Coordinate part shipment and consolidation with ADC personnel by determining the best shipping dates and assisting with some shipping document work where applicable.
  • Be the focus point in communication with sales/customer fulfilment group and advise order status to relevant parties in a timely manner.
  • Resolve issues with internal parties to ensure shipments meet Customer/Operational expectations.
  • Coordinate with CS, Warehouse and Transport team for return shipment and work with Quality for disposition.
  • Support in the investigation of internal/external customer complaints to find the root causes and discuss with their Senior on an appropriate solution to resolve them.
  • Communicate closely with regional and global trade compliance partners and local transportation team to close recommendations or gaps on trade compliance concerns/penalties.
  • Order screening for trade compliance check and export control regulations. Works with Worldwide regions on end user screening (EUS) approvals as needed.
  • Record keeping for trade compliance documentation.
  • Block, check, release order and delivery in relative systems, contact stakeholder for approval and to update missing master data if vital.
  • Maintain accurate filing system for all order related and shipping status documentations.
  • Support group supervisor in data collection (if required) for them to perform analysis work.
  • Ensure that systems and procedures within the department compliance with ISO9001, ISO13485, QSR 21CFR, ISO14001 and ISO45001.

Preferred Qualifications

Must be organized and logical, willing to adapt quickly to changing policies and procedures. Work as part of a team in a fast paced and pressured environment, communicating efficiently with both colleagues and external customers and following verbal and written instructions. Must be able to efficiently solve problems relating to sales, planning, and transportation of goods in locations both local and overseas. Must have excellent digital literacy and be able to operate Microsoft Office and be familiar with any other software pertinent to the position. Must have very strong spreadsheet skills (Excel). Excellent interpersonal, communication, and documentation skills. Prior experience in Singapore’s or global trade compliance policies and systems is preferred or be willing to learn from regional and global company’s resources.

Minimum: Requirements/Qualifications:

Diploma/Degree in Business/Logistics.

3 years overall experience equivalent in Supply Chain management and Export control compliance.
