Position Overview

We are seeking a skilled Administrative Assistant Project Specialist to provide advanced administrative support to our client’s local Business Unit Heads. The role involves a diverse range of responsibilities, including project support, analysis, research, correspondence, and coordination of meetings and travel.

Key Responsibilities

Assist in executive-level projects and initiatives by conducting research, analysis, and problem-solving tasks.

Collaborate with the Executive and senior leadership team to plan, coordinate, and review administrative materials.

Collect and analyze information to troubleshoot issues and effectively communicate project updates to stakeholders.

Maintain calendars, schedule meetings, and handle travel arrangements for team members.

Coordinate with the team on various tasks such as meeting coordination and data requests.

Handle incoming calls, messages, and correspondence efficiently and diplomatically.

Qualifications

Required:

Strong attention to detail and ability to analyze information logically.

Proficiency in Microsoft Office suite (Excel, Word, Access, PowerPoint) and database management.

Ability to work independently and within a team, prioritize tasks, and meet deadlines.

Excellent interpersonal skills, tact, discretion, and judgment in handling sensitive matters.

Associate’s degree or equivalent work experience; Bachelor’s degree preferred.

Minimum 3 years of experience as an administrative assistant supporting executives or business unit heads.

Experience with project support and process management.

Preferred

Familiarity with Medi-Cal billing.

Resourcefulness and ability to work well with diverse personalities while maintaining a positive attitude.
