Duties And Responsibilities

We are in search of a dedicated Project Management Office (PMO) administrator to join our Global IT team. The PMO Administrator provides support to the PMO team, assists in projects and cross IT resources coordination, and ensures adherence to project management methodologies. This role involves organizing project activities, maintaining project documentation, and facilitating communication among project stakeholders.

You will collaborate closely with the PMO Manager, IT project managers, scrum masters and some of the IT leadership teams.

OPERATIONAL AND ADMINISTRATIVE SUPPORT:

  • Provide administrative assistance to PMO team members, including scheduling meetings, preparing agendas, and taking minutes.
  • Facilitation of ongoing portfolio level weekly review meeting and PM meeting
  • Manage project management tools and software, including user access and ticketing / queue maintenance.

PROJECT COORDINATION:

  • Assist PMs and in the planning, execution, and monitoring of projects.
  • Track project progress and performance using established metrics and reporting tools.
  • Coordinate with project managers to ensure project timelines, budgets, and deliverables are met.
  • Facilitate communication between project stakeholders, including team members, clients, and vendors.
  • Support resource management activities, such as tracking resource allocation, maintaining resource calendars, and assisting in resource planning.

PROCESS IMPROVEMENT

  • Support the development and implementation of PMO policies, procedures, and best practices.
  • Identify areas for process improvement and assist in implementing solutions to enhance project efficiency and effectiveness.

REPORTING AND DOCUMENTATION:

  • Prepare regular status reports and dashboards for PMO management and stakeholders.
  • Maintain comprehensive project documentation, including project plans, risk logs, and issue logs.
  • Ensure compliance with PMO standards and guidelines.

TRAINING AND SUPPORT:

  • Provide training and support to project team members on PMO tools and methodologies.
  • Assist in onboarding new team members and familiarizing them with PMO processes.

Qualifications And Experience

Education and Experience:

  • Bachelor’s degree in Business Administration, Project Management, or a related field.
  • 2-4 years of experience in project management or PMO roles.
  • Familiarity with project management methodologies and tools (e.g., Agile, Scrum, Confluence, JIRA).

SKILLS AND COMPETENCIES:

  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office 365 Suite, SharePoint,, Jira, Confluence.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Strong analytical and problem-solving abilities.
  • Ability to work independently and as part of a team.

Additional Information

Role based either in France or UK :

Possibility to work remotely several days per week. Occasional travels could be needed.

  • France: at Exclusive Networks HQ, 20 quai du point du jour, Boulogne-Billancourt.
  • UK: 46 New Broad St, London EC2M 1JH
  • English is a must have, and additional (European) language a plus
  • Working permit allowing to work in UK or France.
