Specialist Vendor Operations | Topfoxx | Mexico

TopFoxx is a rapidly-growing, women-owned start-up founded in New York City that develops unique, innovative women’s eyewear and accessories, centered around a mission of charitability and sustainability. We are currently seeking a Vendor Operations Specialist whose experience in vendor operations, inventory management, and product development will improve relationships and sales in our expanding brand. Fueled by the desire to grow and develop skills, this individual will have the potential to become the Wholesale Manager at TopFoxx through strong accountability, high standards, and merits.

You will work directly with our CEO, high-level management, and a skilled team to collaborate and develop.

Key Responsibilities:

Vendor Management (35%)

  • Communicate with factories to receive updates on production, confirm materials, and ensure deadlines are met with urgency.
  • Negotiate pricing with suppliers to ensure high ROI, quality products, and strict timelines.
  • Address issues with fulfillment centers, suggesting solutions to avoid recurring problems.
  • Manage refunds, discounts, and other financial compensations for issues with suppliers.

B2C & B2B Inventory & Logistics Management (35%)

  • Manage CRM and inventory processes (barcoding, product pages, invoices, etc.).
  • Generate advance shipment notices (ASN) and track shipments.
  • Calculate projections for restocking to prevent out-of-stock situations.
  • Act as a liaison between vendors, product development, wholesale, and customer service teams.
  • Contact platforms like Etsy, Shopify, Amazon and more to resolve product listing / inventory issues.

Product Development Research (10%)

  • Conduct Product Development (PD) research, sourcing trends and sales data from different platforms to identify potential opportunities for new product lines.
  • Collaborate on systematizing and automating operations where possible, ensuring smooth integration with technology.

Operations & Problem Solving (10%)

  • Assist team members by resolving operational issues and researching solutions to complex tasks.
  • Handle challenging tasks like restoring product listings and managing vendor issues.
  • Leverage virtual assistants to support operational efficiency.
  • Bonus: Experience with basic coding or automation to streamline operations.

Additional Third-Party Management (10%)

  • Communicate with third-party software vendors on system updates and issues.
  • Negotiate rates and manage relationships with external vendors to ensure the best deals.
  • Research and recommend the best fulfillment centers, factories, and suppliers for growth, considering quality, rates, and sustainability.

Required Experience & Skills:

  • 3+ years of vendor management experience
  • Degree in International Business or a related field (preferred)
  • Proficient in Excel and Google Sheets, with an emphasis on automation
  • Strong negotiation skills
  • Knowledge of tariffs, import/export regulations
  • Strong research and analytical skills
  • Excellent written and verbal English communication
  • Ability to manage multiple projects with urgency, meeting deadlines and maintaining focus on ROI
  • Tech-savvy and able to take initiative in solving operational and technological challenges

Salary & Benefits:

  • Starting Salary: $1,000 – $1,600 per month USD 
  • PTO for holidays, vacation, sick days, and mental health days

Hours:

  • Monday – Friday 9:00 am to 6:00 pm (occasional late or early hours for international vendor communication)
  • Overtime during peak seasons and key events
