Key Responsibilities:
- Executive Support: Offer comprehensive administrative assistance to the senior management team, including scheduling, travel arrangements, and preparation for executive meetings.
- Strategic Involvement: Participate in high-level discussions, providing insights and ensuring the smooth implementation of key organizational decisions.
- Operations Management: Manage and streamline daily executive operations, as a central point of contact for internal teams and external partners.
- Calendar & Schedule Management: Organize and manage complex executive calendars, coordinating internal and external meetings with key stakeholders.
- Document Preparation: Prepare, review, and proofread reports, presentations, contracts, and other documents to ensure accuracy and adherence to company standards.
- Communication Oversight: Manage executive communications, including phone calls, emails, and correspondence, ensuring timely and professional responses.
- Report & Data Analysis: Gather and analyze data to generate reports that support informed decision-making at the executive level.
- Sales & Customer Support: Assist the sales and customer service teams with administrative tasks such as drafting proposals and managing client communications.
- Task Prioritization: Assist senior leadership in prioritizing tasks, ensuring that deadlines are met, and providing updates on ongoing projects.
- Technology Management: Leverage tools like Google Suite and Microsoft Office to manage documents, presentations, and communications efficiently.
- Remote Coordination: Ensure smooth communication and operations among remote team members, facilitating collaboration across different locations.
- Confidentiality: Handle sensitive information with utmost discretion and professionalism.
Required Qualifications:
- 5+ years of administrative experience, with at least 3 years in a senior or executive assistant role.
- Proficiency in Google Suite, Microsoft Office, and other office management tools.
- Exceptional organizational skills, with a strong attention to detail and multitasking capabilities.
- Fluent in English, with excellent written and verbal communication abilities.
- Experience managing executive schedules and handling high-priority tasks.
- Proven track record of producing high-quality documents, reports, and presentations.
- Ability to think critically and contribute to strategic decision-making.
- Results-driven with a proactive problem-solving approach.
- Strong interpersonal skills, with a customer-service orientation.
- Ability to work independently in a remote environment and manage time effectively.
Preferred Qualifications:
- Experience in the construction industry or related fields is a plus.
