Additionally, you will oversee client rebate approvals, manage special scenarios, and create essential documentation such as Deeds and Incentive Agreements. About You:

You are an experienced professional with a strong background in contracts administration and team leadership. With a minimum of 4 years in the industry, you possess the ability to mentor and manage a team effectively while fostering a collaborative environment. You are detail-oriented, ensuring compliance in documentation, and have a proven track record of streamlining processes. Excellent communication skills and a proactive approach to problem-solving are essential to succeed in this role.

Key Responsibilities & Accountabilities:

  • Team Management: Oversee Contracts Administrators and offshore support, ensuring tasks are delegated effectively and deadlines are met.
  • Rebate Approval: Check and approve payments of client rebates and manage special scenarios requiring higher-level approval.
  • Documentation Creation: Develop new documentation as needed, including Deeds and Incentive Agreements.
  • Process Optimisation: Continuously work on streamlining internal and external processes for greater efficiency.
  • Training and Development: Collaborate with team members to design and oversee training sessions, promoting a culture of continuous learning.
  • Contracts and Compliance: Manage the entire contract lifecycle, ensuring accuracy and compliance for auditing purposes.
  • Stock Management: Handle stock reservations and coordinate with builders, developers, and solicitors.
  • Sales Management: Prepare sales documentation, manage contracts with buyers and sellers, and ensure timely communication with the wealth strategist team.
  • Deposits Management: Oversee deposit processes, including tracking and coordinating with relevant stakeholders.

Required Skills & Experience:

  • Proven ability to lead, mentor, and manage a team, fostering a high-performance culture.
  • Strong skills in creating accurate and compliant documents (e.g., contracts, agreements).
  • Experience in monitoring tasks and providing constructive feedback.
  • Demonstrated success in streamlining processes for increased efficiency.
  • Excellent communication skills for liaising with various stakeholders and handling special scenarios.
  • Proficiency in maintaining accurate records and producing management reports.
  • Experience in managing contracts and financial processes such as deposits and commissions.

Qualifications:

  • 4+ years of industry experience (essential).
  • Real estate certificate preferred, but not essential.
  • Knowledge of mortgage loans, property management, and/or construction is preferred.
  • 3+ years of team leadership experience.
  • Clear Police & Credit Report (mandatory).

Please be aware that this position is a full-time on-site role and work from home arrangements are not an option. Successful candidates must be prepared to work exclusively from the office in Varsity Lakes, Gold Coast, QLD.
