Estate Manager/Property Manager (US Properties) – Job Description
We are seeking a reliable, experienced property manager who is focused on customer service to join our team. The Property Manager will be responsible for carrying out a range of duties to support an effective Repairs, Building Services and Asset Management service to all our residents.
Property finances and operations should be managed in a smooth and efficient manner
Responsibilities:
Ø Manage all aspects of assigned properties;
Ø Design business plans for assigned properties that suit customers’ needs;
Ø Inspect and arrange maintenance to meet standards;
Ø Maintain a positive, productive relationship with tenants;
Ø Rental subsidy assessment and house mapping;
Ø Assess, determine and manage tenant liability charge process as well as debt management and recovery;
Ø General tenancy management including complex issues;
Ø Meet deadlines and key performance indicators;
Ø Maintain gas servicing records as well as raising repair orders;
Ø Check/authorize requests from contractors in relation to variations to work orders;
Ø Maintain databases relating to stock condition and asset registers for all our properties;
Ø Maintain a contract register for all our procured maintenance contracts;
Ø Handle customer enquiries that relate to these areas of work
Ø Coordinate and deliver the planned works schedule;
Ø Effectively manage relationships with all stakeholders including customers, suppliers and other staff which will include appropriate conflict resolution and negotiation to achieve positive outcomes;
Ø Maintain and update all tenant and property records in accordance with policy and procedure;
Ø Adhere to organizational policies and procedures relating to Work Health & Safety, and contributing to a safe work environment;
Ø Receive, evaluate, instruct, record and process repair requests by tenants;
Ø Provide an effective and efficient repair service;
Ø Identify, process and record repairs classed as “Right to Repair” and monitor progress against standards;
Ø Manage all aspects of void properties, including, raise works, manage contractors and reporting on performance against targets;
Ø Attract tenants by advertising vacancies; obtaining referrals from current tenants; explaining advantages of location and services; showing units;
Ø Negotiate lease/contracts with contractors in a timely and reliable manner;
Ø Accomplish financial objectives by collecting rents; paying bills; forecasting requirements; preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective action;
Ø Assure quality and quantity of market ready apartments;
Ø Update job and market knowledge;
Ø Manage day-to-day requirements of property;
Ø Evaluate the property for pricing; calculate rental rates;
Ø Document property interior and exterior with photos;
Ø Manage all property personnel (landscapers, cleaning crews, etc.);
Ø Maintain and update property records;
Ø Document expenses, invoices, receipts, and warranties;
Ø Advise owners on tax deductions and expenses
Ø Manage job sites for both new construction and remodeling projects;
Ø Create schedules for construction crew and ensure all projects are fully staffed;
Ø Hire full-time and temporary laborers to contribute to each project;
Ø Create and manage the budgets for each project, including supplies, materials and labor;
Ø Oversee subcontractors and vendors to ensure quality standards are met;
Ø Plan the work and oversee the buying of necessary materials and equipment;
Ø Maintain regular communication and attend meetings with clients and their representatives to inform them of progress on the project;
Ø Conduct regular site visits;
Ø Conduct technical studies and research;
Ø Approve design changes;
Ø Develop reports;
Ø Provide guidance and mentoring;
Ø Improve production efficiency.
Requirements:
Ø BS degree in related field;
Ø 3 years experience in a customer service-related business with appropriate certification(s);
Ø Valid real estate agent/broker license;
Ø Knowledge of OSHA laws and regulations;
Ø Competency in MS Office and relevant databases and software;
Ø Ability to manage multiple projects at once with no decline in quality control
Ø Leadership skills and an ability to motivate your team to ensure a high standard of work
Ø Well organized with excellent time management skills;
Ø High level administration and office skills
Ø Demonstrated negotiation and problem resolution skills
Ø High level attention to detail
Ø Excellent verbal and written communication skills;
Ø Be able to work evenings and weekends;
Ø Successfully pass a drug test
Ø Driver’s license
Ø Must have valid US tourist visa (B1/B2) and amenable to remote work contract
