Job Summary:

As the Executive Assistant to the Head of Customer Success at 8020REI, you will be instrumental in supporting our department’s leadership through special projects and administrative tasks. This role is crucial for enhancing the department’s productivity by facilitating task management, streamlining information processing, improving cross-departmental functionality, reviewing documents, pushing project finalization, and optimizing time management.

👨‍💻 👩‍💻 Essential Duties and Responsibilities:

  • Support the Head of Customer Success directly with daily administrative and strategic tasks.
  • Assist in preparing editing briefs (video/graphics), reviewing process documents, and ensuring all communications align with departmental standards before they reach the department head.
  • Develop and maintain a moderate level of expertise in Excel to manage and analyze data effectively.
  • Manage and prioritize scheduling, email responses, follow ups and for the Head of Customer Success.
  • Organize and facilitate meetings, ensuring the Head of Customer Success is well-prepared by summarizing and digesting critical information beforehand.
  • Handle communications, including managing engagement and ghostwriting emails to maintain clarity and professionalism in client interactions.
  • Make travel arrangements and manage itineraries for department-related activities.
  • Provide general administrative support, including balancing expenditures and handling confidential information.

📝 Qualifications:

  • Proven experience as an executive assistant, ideally supporting senior-level executives within customer success, marketing, or a similar department.
  • Strong skills in subject matter research, self-guided software/app tutorial with basic proficiency in Excel required.
  • Exceptional organizational and time management skills, strongly biased toward action.
  • Experience in reviewing and ghostwriting emails, as well as some experience with reviewing designs, process documents, and copy.
  • A curious mindset and open to exploring new project avenues to support and enhance departmental goals.
  • Ability to prioritize tasks effectively and facilitate efficient decision-making.
  • A high school diploma is required; further education or certification in a relevant field is beneficial.
  • Excellent verbal and written communication skills in English.
  • Ability to work independently with minimal supervision.
