Key Responsibilities
As the Existing Installation Contracts Manager, you will be instrumental in building strong, lasting relationships with our customers while ensuring smooth day-to-day operations. Your responsibilities will include:
Customer Relationship Management
- Build and nurture relationships with customers and clients to ensure continual and successful service levels.
- Follow up on customer queries and provide requested reporting.
- Act as the first point of contact for new projects entering the warranty phase.
Proposal and Quotation Preparation
- Prepare and follow up on proposals for projects exiting warranty or contract periods.
- Develop proposals for modernizations, lift repairs, and other opportunities, including third-party collaborations.
Service and Maintenance Coordination
- Manage technicians’ and subcontractors’ schedules for maintenance.
- Keep accurate records of preventive maintenance visits and breakdown notifications.
- Organize technician appointments, inductions, and subcontractor arrangements (keys, training, service schedules).
Operational and Administrative Support
- Maintain and update CRM database and manage Work in Progress (WIP) spreadsheets.
- Coordinate customer handover meetings and manage invoicing processes.
- Assist in stock control, spare parts management, and preparing team meeting materials.
- Support Operations/Service Managers during their leave with day-to-day tasks.
Reporting and Continuous Improvement
- Report outstanding matters to the Existing Installation Manager.
- Offer solutions to improve procedures, organizational processes, and product performance.
What We’re Looking For
To excel in this role, you should have:
Education & Experience:
- Minimum of 2 years’ experience in customer service.
- Proficiency in MS Excel and Microsoft Office Suite.
Skills & Attributes:
- High attention to detail and strong organizational skills.
- Excellent telephone communication and administration abilities.
- Ability to handle multiple tasks and maintain effective relationships.
Key Performance Indicators
- Achievement of operational targets as outlined in the OS Plan.
- Timely and accurate preparation of proposals, quotations, and reports.
- Effective management of technician schedules, customer inquiries, and service obligations.
