Overview
We are looking for an experienced administrator to join our small and close knit office team. This office-based support role will provide administrative assistance for TBI’s Operations team and the Senior Rabbi. The role is based in St Kilda with onsite parking available but there is an opportunity for the successful applicant to work from home one day per week. 

 

About you
You are a customer service superstar with a high level of attention to detail, strong computer skills and a warm, welcoming demeanor. You are adaptable and comfortable managing multiple projects and interacting with our diverse membership base. Previous experience as a personal or executive assistant would be favourable but is not required.

 

Key Responsibilities

  • Rabbinic assistance: helping the Senior Rabbi with day to day organisational support, including calendar management, email assistance, booking meetings and reminders.
  • Event administration: provide assistance planning TBI’s events, programs, festivals and services, including organising catering, registrations, security, facilities setup, and caretaking.
  • Ad hoc general administration tasks as required (including answering phone calls, updating shared calendars, membership database management, creating documentation including letters and spreadsheets, data entry, invoicing, ordering supplies).
  • Ad hoc facilities and events set up tasks as required.

 

What We’re Looking For

  • Dedicated team player with demonstrated emotional intelligence who is also able to work independently and possesses the ability to get along well with others.
  • Proactive mindset with an ability to manage multiple competing priorities.
  • Initiative, flexibility and adaptability.
  • Strong written and verbal communication skills.
  • Intermediate to advanced computer skills, with a high level of competence in basic office software, including Microsoft Office, Google Suite, and CRM databases, plus the confidence to learn new software packages as required. 
  • Ability to maintain a valid Working with Children check.
  • A Current Victorian Drivers’ Licence and working knowledge of Progressive Jewish customs and ritual are preferred but not required.
