Company Description
We are a US-based creative marketing company, currently seeking a dedicated Admin Assistant to support our CEO. As a small team with members around the world, you will work closely with our team to keep our agency organized and operationally strong. Strong organizational skills and a positive attitude are crucial. The position offers fully remote work, with a 40-hour work week. Must be ENGLISH-SPEAKING.
Pay: $850/mo
Role Description
This is a full-time remote role for an Administrative Assistant at Oh Hello. The Administrative Assistant will be responsible for providing administrative support, handling phone communication, demonstrating exceptional communication skills, and assisting with executive administrative tasks and clerical duties.
Key Responsibilities:
- Administrative Support: managing schedules, coordinating appointments, handling correspondence, and organizing meetings.
- Calendar Management: Maintain the team’s calendar, scheduling and arranging meetings, conference calls, and other events. Ensure the executive is well-prepared for all appointments.
- File and Document Management: Organize and maintain files, records, and documents, ensuring easy access and retrieval of information.
- Meeting Support: Attend meetings with the team, take notes, and follow up on action items and decisions.
- Research and Information Gathering: Conduct research on various topics and compile information for reports, presentations, and decision-making.
- Project Coordination: Assist with the coordination and management of personal projects, ensuring that deadlines are met and progress is tracked.
- Interdepartmental Coordination: Act as a liaison between the executive and other departments within the organization, facilitating communication and collaboration.
- Gatekeeping: Screen phone calls and visitors, filtering out unnecessary interruptions and ensuring the executive’s time is used efficiently.
- Personal Support: Provide personal assistance to the executive, such as handling personal appointments, gift shopping, or managing personal tasks digitally.
- Social Media Management when needed
Qualifications:
- 3+ years experience as a project manager or other relevant administrative support experience.
- 1+ years experience working remotely in a structured environment.
- In-depth understanding of the entire MS Office suite and AI applications.
- Higher Level Education Degree.
- Fluent English.
- Administrative Assistance and Executive Administrative Assistance skills
- Phone Etiquette and Communication skills
- Clerical Skills
- Excellent organizational and multitasking abilities
- Strong attention to detail and problem-solving skills
- Proficiency in Google Office suite
- Major plus if you understand how to use Basecamp our project management suite
- Associate’s degree or higher in Business Administration or related field
- 2 references from your previous job are required before final offer.
Nice to Have:
- Previous experience in marketing, social media management, or advertising.
- Experience with editing social media content and growing social platforms.
- Familiarity with working in an agency setting
