Job Purpose:
The Clinical Hub Administrator will provide essential administrative support to the clinical team, ensuring smooth and efficient day-to-day operations. The role involves managing communications between patients and clinical staff, scheduling appointments, and maintaining accurate records. This position is critical in enhancing the patient experience by coordinating care efficiently and providing timely support to clinical staff.
Key Responsibilities:
Appointment Management:
– Schedule, confirm, and reschedule patient appointments based on clinical team availability.
– Coordinate appointments between patients and relevant clinical staff within the triage and other hubs.
– Send appointment reminders and follow-up messages to patients as needed.
Patient Communication:
– Act as the first point of contact for patients through phone calls, emails, or other communication platforms.
– Answer patient inquiries regarding appointments, processes, or general questions, and escalate clinical inquiries to appropriate team members.
– Assist patients with completing necessary forms or documentation before their appointments.
Administrative Support:
– Support clinical staff by managing their administrative workload, including tracking and updating patient records, and managing tasks within practice workflows.
– Maintain and update patient databases and ensure all patient information is kept confidential and complies with data protection regulations.
– Liaise between clinical team members to ensure proper communication and task delegation is handled effectively.
Document and Record Keeping:
– Maintain accurate and up-to-date records of patient interactions, appointments, and follow-up care.
– Prepare and distribute relevant reports to clinical team members regarding patient appointments and triage activity.
-Take minutes for strategic meetings and to capture important meeting points throughout the working week.
Team Coordination:
– Assist with organising team meetings, preparing agendas, and taking minutes as necessary.
– Act as a key liaison between clinical and administrative teams to ensure effective communication.
Support Process Improvement:
– Identify and suggest improvements to administrative processes within the triage hub to increase efficiency.
– Assist in the implementation of new administrative procedures and technologies.
Skills & Experience:
Essential:
– Proven experience in an administrative or customer service role, preferably within a healthcare setting.
– Strong organisational skills and attention to detail.
– Excellent written and verbal communication skills.
– Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
– Proficient in Microsoft Office (Word, Excel, Outlook)
