General Description
The Advancement Operations Manager is responsible for architecting and building the system that:
- Effectively and efficiently utilizes donor data (NetSuite CRM) and organizes information to support advancement efforts.
- Provides a prioritized list of opportunities ready to fund and ensures that funding opportunities align with organizational priorities.
- Support the creation of proposals, reports, and donor experiences that exceed donor expectation.
- Aligns internal, field-side and donor needs into one efficient system.
The Advancement Operations Manager will optimize advancement operations to support donor engagement with a focus on major donors. This role will be a critical liaison between fundraisers, the finance department, programs teams, and marketing efforts. The Advancement Operations Manager will also help architect, support and facilitate the utilization of HTI’s CRM (Netsuite for Nonprofits – an Oracle product) to maximize the donor pipeline, run analytics, and ensure data integrity. Working closely with the VP of Advancement, this role will drive key functions that enable HTI to meet its fundraising and program goals. This position reports to the VP of Advancement and collaborates across departments to ensure alignment with HTI’s growth strategy.
This role requires a breadth of skills – a systems builder, a senior project manager, cross-functional collaborator, and implementor/operator.
Responsibilities
Specific responsibilities will include:
- Oversee the development of a scalable advancement operations system that meets the needs of all internal (program, advancement, and finance teams) and external stakeholders with a focus on major donors, including leveraging existing programs tracking and reporting data.
- Manage and run the system, filling in where gaps exist.
- Create and maintain processes to improve donor engagement and data integrity within the CRM system.
- Improve utilization of CRM system including dashboard creation, saved searches, query writing, audience segmentation, system integration (e.g., email platform and CRM) and best practice architecture.
- Analyze data to improve major donor pipeline and opportunities.
- Conduct donor research via wealth screen tools to identify prospective donors and inform fundraising strategies.
- Help develop and manage proposals and impact reports to communicate the effectiveness of HTI’s programs to donors and stakeholders – this system should leverage existing programs tracking and reporting data.
- Collaborate with the program team to align donor offers with program needs, ensuring accurate planning and inventory management.
- Support special projects and tasks as assigned by the VP of Advancement, including resource gathering (especially stories), data analysis, general marketing efforts and cross-departmental initiatives.
- Liaise across departments to coordinate offer planning and designation strategies that align with HTI’s financial goals, ensuring accurate planning and inventory management.
- Collaborate with Grants Manager to create a grants compliance and reporting system to support private, institutional, and corporate grants.
- Support strategy, logistics, and materials to engage top stakeholders and partners through field visits, ensuring a meaningful experience with specific opportunities for philanthropic engagement.
- Segment data to help with general marketing efforts and cross-departmental initiatives.
- Help develop strategy and implement system for donor events, ensuring alignment with HTI’s messaging and fundraising goals.
Qualifications
- Bachelor’s degree required, preferably in business, or a related field.
- 10+ years of experience in advancement systems design and implementation in an international development context.
- Excellent technical understanding of CRM systems, specifically Netsuite for Nonprofits, with the ability to analyze and utilize data.
- Ability to build data requests and architect data structures needed to support donor engagement and opportunities.
- Proven experience in donor servicing and management.
- Exceptional project management skills, with a track record of leading cross-functional teams.
- Experience working in nonprofit or mission-driven organizations, with an understanding of the unique challenges and opportunities in these environments.
- Excellent communication and relationship-building skills, with the ability to engage diverse stakeholders.
- Ability to travel 10-15% of the time, both domestically and internationally.
- Can distill donor needs, exceeding their expectations through the donor journey pipeline.
