Snoots is seeking an experienced veterinary receptionist to join our trailblazing team as a Care Coordinator.

As our Care Coordinator, you will be the friendly, helpful voice pet parents hear when they call or chat with us. You’ll play a key role in delivering outstanding customer service while assisting with appointment scheduling, billing, and case triaging. Whether booking appointments, following up on a recent visit, or guiding pet parents to the next step in their pet’s care, your expertise and care will leave a lasting impression.
About the Role
Your responsibilities will include:
- Customer Service: Serve as the first point of contact for pet parents through phone, email, and chat, ensuring they feel heard, supported, and valued.
- Appointment Scheduling: Coordinate and manage appointments for in-clinic and online consultations, working seamlessly across multiple scheduling systems.
- Patient Triage: Listen attentively to pet parent concerns and, using your judgment and training, identify whether cases require immediate attention, a veterinary consultation, or can be resolved with advice.
- Billing Assistance: Help pet parents understand billing details and process payments accurately.
- Case Documentation: Accurately record and update patient information and case details in our system.
- Inbound & Outbound Communication: Follow up on recent visits, share test results or updates, and ensure pet parents are informed and supported throughout their journey with us.
- Collaboration: Work closely with our veterinary team to ensure smooth communication and continuity of care.
Schedule & Flexibility
This is a four-day-a-week role, with shifts of 12 hours per day. To keep things pawsitively convenient for pet parents, at least one of your four days will need to be a weekend day. Whether it’s Saturday or Sunday, we’ll work with you to make the schedule fit your life while ensuring our furry clients and their humans always get the care they need.
About You
We’re looking for someone who genuinely cares about pets and their owners to take on this customer-service-focused role. Our ideal candidate has:
Required:
- Several years of experience as a receptionist in a veterinary clinic.
- Excellent customer service skills with a compassionate, friendly, and professional phone and chat manner.
- Strong organisational skills and attention to detail to ensure accurate scheduling and documentation.
- Comfort with technology and the ability to quickly learn new systems.
- Fluency in English and familiarity with veterinary terminology.
- Passion for helping pets and educating pet parents.
Desirable:
- Experience in triaging pet health concerns.
- Familiarity with telehealth/telemedicine workflows.
- Post-secondary education in a related field.
