Key Responsibilities
- Collaborate closely with the Senior Director to oversee all logistics related to our main conference, encompassing pre-event, onsite, and post-event activities.
- Facilitate site visits and coordinate with city officials, managing essential logistics such as hotel reservations and group dining arrangements.
- Assist in comprehensive research, analysis, and documentation associated with site selection and historical event data.
- Ensure compliance with meeting space requirements through meticulous review of future contracts.
- Develop and maintain a detailed meeting space grid for our convention center and headquarters hotel.
- Efficiently assign and manage meeting room and functional area usage to optimize conference operations.
- Lead the design, layout, and setup of key areas within the convention center, ensuring adherence to budgetary constraints.
- Formulate and manage event specifications, including room setups, catering, audiovisual needs, and other services.
- Act as the primary liaison with event venue personnel during all phases of planning and execution.
- Oversee the conference volunteer program, including registration, training, and handbook development.
- Assist in devising contingency plans while troubleshooting and resolving onsite challenges.
- Establish and nurture relationships with key vendors, including hotels, transportation providers, and caterers.
- Liaise with a third-party housing vendor for contract processing and customer service support.
- Manage vendor relationships related to transportation, including budget oversight and shuttle scheduling.
- Develop and oversee the event request process, ensuring strategic alignment with organizational goals.
- Contribute to the creation of marketing materials and conference websites.
- Review and address discrepancies in vendor invoices, ensuring accurate and timely payments.
- Collaborate with the Manager of Event Technology & Operations to maintain the Convention Resources page.
- Support the annual budgeting process by monitoring prior year revenues and expenses.
- Monitor the conference inbox to ensure timely responses to inquiries.
- Supervise operational and logistical activities for other assigned meetings and events.
Required Skills
- Proven experience in managing and executing large-scale events, showcasing creativity and innovation.
- Strong expertise in budget development and management.
- Exceptional interpersonal, communication, and customer service abilities.
- Highly self-motivated, detail-oriented, and capable of strategic thinking with robust problem-solving skills.
- Effective decision-making capabilities in dynamic environments.
Qualifications
- Bachelor’s degree in business management or a related area is preferred.
- A minimum of four to five years of relevant experience in meeting management is required.
- Experience within an association environment is advantageous but not mandatory.
- Willingness to travel as needed for this role.

Compensation And Benefits
Compensation for this position ranges from (68,800 to )75,000 annually, accompanied by a comprehensive benefits package that includes:
