Digital Portfolio Operations Specialist will work closely with project team members, managers and leads to provide day-to-day administrative and operational support by ensuring projects remain within scope, schedule, and budget. Responsible for creating, maintaining, and coordinating project schedules (currently in EPM); setting tasks and tracking resource allocation against HI Digital initiatives that require financial management and reporting.


key responsibilities include the following:

Support Resource Management, Financial Management and Reporting across HI Digital Portfolio (300+ team members)
  • Use timesheet management tools to assign and track resource allocation, working hours, budget, plans and spend.
  • Understand and maintain governance for Resource Management by following processes and business[1]rules
  • Ensure timesheets are submitted on time and against the correct funding source.
  • Undertake Project Scheduling and Support
  • Support Project Managers via Scheduling in creation and maintenance of project plans (incl dependencies), schedules, and budgets.
  • Identify variances of project plans that might lead to change of forecast and budget overrun. Support resolution of these variances.
  • Proactively identify issues and risks that may impact project goals, objectives, and outcomes.
You may also carry out any other duties reasonably requested by Bupa from time to time.


To be successful in this role you’ll need:

  • Tertiary qualification in relevant digital or business disciplines or equivalent work experience
  • Demonstrated exceptional communication skills including internal stakeholder management as well as developed relationship building skills.
  • Experience in project schedule, planning and management
  • Experience in resource and timesheet management methods and tools
  • MS Project experience
  • EPM Timesheet Tool experience (or similar).
  • Proficient in MS Excel.
  • Strong problem-solving skills. Proactively address operational issues or challenges when they arise.
  • Ability to work independently and in a team environment.
  • Scheduled projects using various delivery methodologies including, waterfall and Agile
  • Experience as a member of an agile working environment. Exposure to Scaled Agile is beneficial.
  • Experienced with Application Lifecylce Management Tools (e.g. Azure DevOps, Jira)

  • You can present complex concepts and scenarios to stakeholders in a way the portrays confidence. You can facilitate cross-functional forums with business and technical participants.
  • Advanced level skills using Microsoft Office Suite: MS Project, Excel, PowerPoint, PowerBI
  • Ability to juggle higher-order activities with immediate needs of the team: You are approachable and composed, particularly in high-pressure environments.
