Role Overview

As an Executive Assistant, you’ll provide essential administrative and operational support to the executive leadership, streamlining processes and ensuring efficient time management. This role is ideal for someone passionate about supporting high-impact executives in the insurance tech industry.

Your Impact

Your efforts will ensure that company’s executive team can focus on strategic goals, leading to impactful initiatives that drive company growth. You’ll directly support the alignment of leadership priorities with their mission and values, contributing to an optimized and collaborative work environment.

Key Responsibilities

  • Calendar and Scheduling Management
  • Coordinate complex scheduling, manage multiple time zones, and prepare meeting materials
  • Prioritize and align time allocations with their strategic goals
  • Communication and Correspondence
  • Manage email and communications on behalf of executives, ensuring timely responses
  • Serve as a primary liaison with internal and external stakeholders
  • Travel Coordination
  • Arrange and coordinate travel, ensuring efficiency with contingency planning
  • Project Coordination
  • Track project milestones and support executive initiatives with up-to-date resources
  • Document and File Management
  • Maintain organized, accessible digital files and prepare executive meeting materials
  • Expense Management and Reporting
  • Manage expense reports and coordinate with finance for budget adherence
  • Administrative and Ad Hoc Support
  • Provide support across various tasks and special projects to streamline operations

Requirements

Must-Have:

  • 3-5 years of experience as an Executive Assistant or similar role, preferably in tech or insurance
  • Strong calendar management and organizational skills
  • Exceptional communication abilities with high-profile stakeholders
  • Proven track record of handling high-level administrative tasks with discretion and confidentiality
  • Ability to work in a fast-paced, dynamic startup environment and adaptable to shifting priorities
  • Proficiency in Microsoft Office Suite, project management tools and CRM systems

Nice-to-Have:

  • Experience with remote teams
  • Background in insurance industry
