Position Overview: We are seeking an experienced Project Manager to oversee the execution of exhibitions and trade shows across various locations in Europe. This role involves supervising all on-site aspects of projects, ensuring seamless execution and exceptional client satisfaction.

Responsibilities:

On-Site Supervision

Oversee the setup, execution, and teardown of exhibitions and trade shows on-site.

Coordinate on-site teams, including contractors, vendors, and internal staff, to ensure smooth operations.

Conduct on-site briefings with team members and stakeholders.

Client and Vendor Management

Serve as the primary on-site contact for clients, addressing any issues or concerns promptly.

Coordinate with vendors and suppliers on-site to ensure timely delivery and quality of services.

Negotiate with on-site vendors to secure the best rates and services.

Logistics and Coordination

Oversee the transportation and installation of exhibition materials and equipment.

Ensure all necessary permits and approvals are obtained for on-site activities.

Manage on-site logistics, including space planning, resource allocation, and timeline adherence.

Monitor and maintain on-site safety protocols and compliance with regulations.

Quality Assurance and Problem-Solving

Ensure the highest standards of quality and service are maintained throughout the exhibition.

Proactively identify and resolve any issues that arise on-site.

Implement contingency plans to address unforeseen challenges.

Reporting and Documentation

Provide regular updates and reports on on-site activities to the project management team.

Document on-site processes, challenges, and successes for continuous improvement.

Ensure all on-site activities are accurately recorded and reported.

Leadership and Team Collaboration

Lead and motivate on-site teams, fostering a collaborative and productive work environment.

Provide guidance and support to team members, ensuring they have the resources and information needed.

Participate in post-event debriefs to evaluate on-site performance and identify areas for improvement.

Experience & Skills Required:

Proven experience in on-site supervision for exhibitions or events.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills. (Speak English and French is a huge plus)

Ability to manage and coordinate large teams effectively.

Problem-solving skills and the ability to think on your feet.

Knowledge of exhibition setup, logistics, and safety protocols.

Flexibility to travel extensively and work irregular hours as needed.

Preferred Qualifications:

Previous experience in the exhibition or event industry.

Familiarity with trade show regulations and compliance requirements.

Proficiency in project management software and tools.
