Job Description

Position Overview:

The Financial Operations Lead will oversee and enhance the financial operations of our IT service company, ensuring accuracy, efficiency, and strategic alignment. Key responsibilities include managing customer invoicing, generating financial reports, handling payroll, optimizing resource allocation, and managing vendor payments. The role requires expertise in cost forecasting, international transactions, and automation of financial processes to support the company’s growth.

Key Responsibilities:

Bookkeeping:

Maintain accurate and organized financial records, ensuring all transactions are recorded in a timely manner.

Reconcile accounts monthly, including bank statements, accounts payable, and receivables.

Ensure compliance with accounting standards and support the preparation of financial statements.

Financial Reporting:

Develop and maintain detailed financial reports using Excel and other tools, providing actionable insights on company performance.

Analyze operational costs, create budget forecasts, and provide projections to support strategic decision-making.

Long-Range Planning (LRP) and Budgeting:

Develop and manage the company’s long-range financial plan (LRP) to align with strategic goals.

Create and manage annual budgets, working closely with department heads to ensure alignment with operational needs.

Project Profitability, Cost & Revenue Models:

Develop project cost and revenue models to inform Statements of Work (SoWs) and proposals, ensuring alignment with financial goals.

Conduct profitability analyses and forecasts for projects, providing insights to support project decisions and financial planning.

Track resource allocation and expenses against budgets to uphold financial control and optimize spending.

Payables Management:

Manage entire Payroll process for employees, ensuring accuracy and timeliness

Manage vendor payments for all contractors and external providers, maximizing payment terms

Validate hours against vendor invoices, and maintain accurate payment records.

Answer questions, provide documents and work with employees on payroll related topics

Ensure Quickbooks and Accounting records are reconciled

Client Invoicing and Receivables Management:

Lead the client invoicing process, ensure invoice accuracy

Create process and drive collections for overdue payments.

Cash Flow Management:

Monitor and manage cash flow to ensure sufficient liquidity for operations and strategic initiatives.

Maintain Weekly/Monthly Cash flow forecasting

Tax Management:

Oversee compliance with tax regulations and ensure accurate and timely tax filings.

Coordinate with external tax advisors as needed for complex tax matters.

Implement and maintain efficient tax strategies to optimize the company’s tax position.

Financial Strategy and Insights:

Collaborate with leadership on financial strategies, identifying growth opportunities and areas for cost optimization.

Provide insights on financial health, trends, and performance, supporting long-term strategic goals.

Drive process efficiency by identifying and implementing automation opportunities in finance workflows using advanced Excel functions and other SaaS tools.

Qualifications:

  • 5+ years of experience in finance, ideally in IT or service-oriented environments
  • Proven experience in budgeting, forecasting, and financial planning, aligning with long-range planning responsibilities.
  • Knowledge of tax regulations and compliance requirements, ideally with experience managing taxes for a service or technology company.
  • Advanced proficiency in Excel, including automation capabilities
  • Familiarity with SaaS finance tools and a proactive interest in process automation
  • Experience handling international transactions and currency exchanges
  • Exceptional organizational, analytical, and detail-oriented skills
