About the Role

Set in two iconic venues, Beneath Driver Lane and Torino Aperitivo offer a unique blend of ambiance and culture, providing the perfect canvas for creating unforgettable experiences. We are seeking an enthusiastic and organised Functions and Events Manager to lead the coordination and execution of events. This dynamic role involves client communications, business development, event execution, and overseeing our prestigious Basement Barrel Whiskey Society. You will balance on-site and remote responsibilities to deliver exceptional experiences for our clients and members.

Key Responsibilities

Client and Event Management

• Respond to all email inquiries regarding functions and events in a timely, professional, and client-focused manner.

• Manage the end-to-end booking process, including internal & external stakeholders, consultations, contracts, and logistics.

• Prepare detailed event run sheets and post-event reports.

• Coordinate with internal teams (kitchen, bar staff, management) to ensure seamless event execution.

• Attend events to oversee operations and ensure client satisfaction.

Business Development

• Proactively identify opportunities to promote function and event offerings to businesses and individuals.

• Build and maintain strong relationships with corporate clients and partners.

• Develop marketing strategies to attract new clients and enhance the venue’s reputation as a premier event space.

Basement Barrel Whiskey Society Management

• Lead the growth and engagement of the exclusive Basement Barrel Whiskey Society.

• Coordinate premium member events, tastings, and activities aligned with the Society’s vision.

• Manage membership renewals, communications, and inquiries.

• Develop strategies to enhance member engagement and satisfaction.

External Communications

• Oversee all incoming business emails and respond within 24 hours, leveraging automated systems to manage high volumes efficiently.

• Respond to specific social media messages via Meta platforms.

• Ensure all material shared with the Social Media Manager is on-brand and copywritten.

• Create monthly EDMs for two database groups: general subscribers and Basement Barrel Whiskey Society members, in collaboration with management.

• Design and issue gift vouchers through Canva and add them to the POS system.

Administrative and Remote Work

• Work remotely two days per week to manage correspondence, schedules, and planning.

• Maintain accurate records of events, client communications, and financial transactions.

• Provide regular, actionable reports to the leadership team on event metrics, client engagement, and financial performance.

Skills and Experience

• Proven experience in event management, hospitality, or a related field.

• Strong organisational skills and the ability to manage multiple tasks simultaneously.

• Exceptional communication and interpersonal skills.

• Sales or business development experience is highly regarded.

• Passion for creating memorable client experiences.

• Knowledge of whiskey culture or a passion for learning about it is highly valued.
