Triple is a leading virtual assistant provider, committed to delivering exceptional patient care and operational efficiency. We are seeking an experienced Operations Manager to lead and optimize our US Healthcare Team.

Job Summary

The Operations Manager will oversee multiple departments within our US Healthcare Team, including scribing, patient services, prior authorization, back-office management, and billing. This role is critical to ensuring the efficient use of resources, maintaining high service delivery standards, and driving continuous improvement across all operational functions. The ideal candidate will be a strategic thinker with a strong background in healthcare operations, capable of leading teams, optimizing processes, and enhancing the department’s overall performance.

Key Responsibilities

Team Leadership & Management

  • Lead, mentor, and manage teams across various departments including scribing, patient services, prior authorization, back-office management, and billing.
  • Conduct regular check-ins with department heads and team members to ensure alignment with operational goals and address any challenges.
  • Develop and implement performance metrics to monitor the effectiveness of each department.

Operational Oversight

  • Oversee day-to-day operations, ensuring that all departments are functioning efficiently and effectively.
  • Ensure compliance with healthcare regulations, policies, and procedures across all departments.
  • Monitor and optimize resource allocation to meet department needs and business goals.

Reporting & Analytics:

  • Prepare and present regular operational reports to senior management, highlighting key performance indicators, trends, and areas for improvement.
  • Use data-driven insights to identify opportunities for process enhancements and implement corrective actions as necessary.

Talent Development & Recruitment:

  • Identify upskilling opportunities and coordinate training programs to enhance the skill set of team members.
  • Participate in the recruitment process, including conducting technical interviews and assessing the suitability of candidates for operational roles.
  • Foster a positive work environment that encourages collaboration, innovation, and professional growth.

Continuous Improvement:

  • Drive continuous improvement initiatives across departments to increase efficiency, reduce costs, and improve patient outcomes.
  • Stay up-to-date with industry trends and best practices, incorporating new ideas and technologies into operational strategies.

Onboarding & Client Preparation:

  • Ensure smooth onboarding of resources to clients, coordinating all necessary preparations.
  • Assist team members in preparing for client interviews, providing guidance and support to ensure they meet client expectations.
  • Handhold new resources through their initial stages to improve efficiency and ensure successful integration into client teams.

Mandatory Pre-requisites to qualify for the role

  • Bachelor’s or Masters’ degree in Healthcare Administration, Business Management, or a related field (Master’s degree preferred).
  • 5+ years of experience in healthcare operations management, with a focus on scribing, patient services, prior authorization, back-office management, or billing.
  • Strong leadership and team management skills, with a proven track record of leading cross-functional teams.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Proficient in data analysis and reporting tools.
  • In-depth knowledge of US healthcare regulations and compliance standards.
  • Ability to work in a fast-paced environment and manage multiple priorities effectively.
