WHAT YOU WILL GAIN FROM THE EXPERIENCE – OVERVIEW OF THE ROLE
The Manager of Information and Data leads the National Gallery’s information management, data and records services, mail services and the exploration of emerging information management requirements to meet strategic business information and data needs.
This position reports to the Chief Information Officer (CIO) and is responsible for ensuring effective and efficient day-to-day operations and the delivery of high-quality outcomes and modern records and mail services for the National Gallery.
The National Gallery has commenced an ICT transformation agenda with a cornerstone reform project introducing an integrated information system which manages records in place using MS Teams and Content Manager.
The project involves a large change management program, systems configuration, and review of procedures and instructional material. The occupant of this role will need to draw on their resilience and extensive skills and experience in information, project and change management.to enable successful adoption by all National Gallery staff.
The National Gallery also manages a large volume of historical paper records pertaining to artists, works of art, provenance and other culturally significant information which must be cared for and made accessible to Gallery staff, the public and researchers. There is also an ongoing program of work of sentencing and disposal and to effectively enable accessibility of these historical records into the future.
The IM team also manage the National Gallery’s mail service to support distribution of our publications, interlibrary loans, priority mail between galleries and other general mail.
THE KEY DUTIES OF THE POSITION – WHAT WILL YOU DO? – DUTY STATEMENT
In accordance with the EL1 work level standards, you will:
- Manage a small team (1 x NGA5) to deliver information management services to the National Gallery, creating a supportive and service delivery focused environment
- Provide organisational leadership and contribute to the National Gallery’s strategic direction and development of information management services including delivering against the National Gallery’s ICT Transformation Strategy Roadmap IM activities, reviewing annual priorities, completing the National Gallery’s “NAA Check-up” survey
- Lead the implementation of the National Gallery’s Electronic Document and Records Management System (EDRMS) to enable the transition from physical to digital records
- Develop and maintain information and data management policies and procedures
- Manage the information management technology ecosystem including information and data security controls and appropriate access for staff, undertake information management business system assessments, contribute to the development of effective risk management plans and policies for information systems
- Manage Content Manager keeping it up to date with appropriate records authorities, business classification scheme, and compliance obligations.
- Manage and deliver end to end file requests both digital and paper based. Establish new processes as able such as ‘scan on demand’.
- Manage the mail function including screening, collection, self-service support and couriers
- Manage procurements, vendors and service contracts for information management and mail functions completed by third parties
- Manage projects and services in line the budget
- Provide high level advice to a range of internal and external stakeholders
- Support governance committees, working groups and other administrative duties as requested.
ELIGIBILITY:
Citizenship – To be eligible for employment with the Gallery, you must be an Australian citizen.
Police Check – to be eligible for this role you must complete a police check.
Ability to obtain Base line clearance if requested
