Office Manager responsibilities include:
- Directing the overall operations of our primary offices located in South Melbourne and Sydney, ensuring all functions run smoothly and efficiently, managing all aspects of utilities and facilities to provide a seamless experience.
- General reception tasks, such as answering calls, greeting clients, attending to mail and scheduling appointments
- Managing projects such as office repairs and maintenance the integration of new systems, ensuring compliance with relevant standards and timelines.
- Effectively communicate and manage relationships with a variety of stakeholders, including property management, our external IT consultant, cleaning contractors, suppliers, our team members, and senior management.
- End to end management of corporate travel arrangements for all team members, guests and clients.
- Oversee the procurement and management of office supplies, equipment and consumables.
- Developing initiatives to refine and upgrade operational processes, enhancing team member and client experience.
- Support management of the company’s insurance policies and corporate governance portfolio, ensuring compliance and up-to-date coverage.
- Act as the office troubleshooter for computer, email, server, and ISP issues. The Office Manager will be required to set up workstations and user/server accounts for all new staff and efficiently deal with any IT issues as they arise, escalating issues to our external IT consultant when required.
- Foster a strong sense of community and belonging among employees by coordinating events, activities, and initiatives that align with Think HQ values and purpose, encouraging interaction and collaboration
About you:
- Relevant office management experience, preferably with a background in facilities management, financial oversight, and project management.
- Proven leadership experience in managing and leading teams, with a capability to inspire, motivate, and guide others towards achieving excellence.
- Resilience and adaptability to manage a highly reactive and dynamic environment, adjusting quickly to the demands of the role.
- Exceptional problem-solving skills with a proven track record of effective decision-making under pressure.
- Demonstrates initiative and exhibits a proactive approach, identifying and addressing needs before they arise.
- Highly organised with an ability to manage multiple projects and priorities seamlessly.
- Outstanding verbal and written communication skills, essential for managing and influencing teams and stakeholder relationships.
- A genuine professional who can maintain a high level of discretion and confidentiality, ensuring that sensitive matters are handled with care and professionalism.
