We are seeking a dedicated and detail-oriented Operations Manager Assistant to join our dynamic team in the public health sector located in Lebanon. This role is critical in supporting the Operations Manager in the execution of various administrative and operational tasks to ensure the smooth functioning of our projects and initiatives. The ideal candidate will have a passion for public health, exceptional organizational skills, and the ability to work collaboratively within a fast-paced environment. Responsibilities:
– Assist the Operations Manager in coordinating daily operations and project management activities.
– Support the implementation and monitoring of public health programs and initiatives.
– Maintain and organize project documentation, reports, and databases to ensure accessibility and compliance.
– Schedule and coordinate meetings, workshops, and training sessions for staff and stakeholders.
– Prepare and distribute agendas, minutes, and follow-up action items from meetings.
– Assist in financial management tasks, including budgeting, expense tracking, and procurement processes.
– Collaborate with various departments to ensure alignment on operational goals and project timelines.
– Conduct research and gather data to support program evaluation and reporting requirements.
– Help develop and implement operational policies and procedures to improve efficiency.
– Act as a liaison between the Operations Manager and other team members, ensuring clear communication and collaboration.
– Monitor project progress and provide regular updates to the Operations Manager.
– Participate in the development of training materials and support staff training as needed.
– Assist in the preparation of presentations and reports for stakeholders and partners.
– Support the preparation of grant applications and proposals as required.
– Perform other administrative tasks as assigned to support overall operations.
Requirements:
– Bachelor’s degree in Public Health, Business Administration, or a related field.
– Minimum of 2 years of experience in an administrative or operations support role, preferably in the public health sector.
– Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
– Excellent verbal and written communication skills in both English and Arabic.
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
– Demonstrated ability to work independently as well as collaboratively within a team.
– Strong attention to detail and problem-solving skills.
– Familiarity with public health principles and practices is a plus.
– Ability to maintain confidentiality and handle sensitive information with discretion.
– A proactive and adaptable approach to work, with a willingness to learn and take on new challenges.
