ABOUT THE ROLE

The Operations Manager (Full time or Part time) at EcoBarista is critical to ensuring the day-to-day seamless operations and long-term growth of the business. This role works closely with the managing director, sales team, marketing manager, accounts team, and inventory management officers to deliver outstanding results through strong work ethic, business acumen, leadership, and data integrity. The key responsibilities include driving business-wide efficiencies within the supply chain, increasing margins, controlling costs, and ensuring transparency in costing across the business.

This role requires a driven individual with proven operations experience who can problem-solve, quickly analyze inventory or sales data, and make recommendations to the team based on findings. A positive, can-do attitude and high attention to detail are essential for success in this position.

KEY RESPONSIBILITIES

  • Manage and lead sales administration, supply chain, accounting, warehousing, and external vendors to ensure smooth, efficient operations.
  • Team management and mentoring.
  • Ownership of multi-site 3PL warehouse management and performance.
  • Maintain optimized internal systems.
  • Actively pursue strategic and operational objectives.
  • Provide visibility on all key metrics.
  • Program management of special projects.
  • Continuous improvement champion.

SYSTEMS & DATA MANAGEMENT

  • Data integrity (Unleashed).
  • Set and maintain KPIs—monitor and act on exceptions.
  • MRP—Unleashed ownership of all data integrity and system operation.
  • Google Sheets/Excel.
  • Special projects (e.g., B-Corp, new online shop, MRP/ERP enhancements).
  • Manage timely data collection to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service.
  • Create detailed reports for adjustments, inventory operations, and stock levels.

SUPPLY CHAIN & LOGISTICS

  • Examine raw materials and supply levels to determine shortages.
  • Manage supply chain and new product strategies.
  • Inventory management and data integrity.
  • Oversee purchasing and costing functions.
  • Container scheduling oversight.
  • Warehousing and freight optimization—cost impacts.

FINANCE

  • Oversee finance functions.
  • Manage costing methods and updates for a large SKU database (+300).
  • Conduct product and vendor costing analyses.
  • Oversee accounts payable and receivable departments.

CONTINUOUS IMPROVEMENT & QUALITY

  • New product project management.
  • Process development, execution, and maintenance.
  • Creation and management of quality systems and documentation.
  • Enhance and sustain organizational processes and procedures.
  • Conduct factory quality audits and ensure compliance for clients.
  • Develop, implement, and maintain quality assurance protocols.

SUCCESSFUL CANDIDATE

  • 5+ years of experience in an Operations Manager role.
  • 3+ years managing a team of 5 or more staff.
  • Experience in the packaging industry (ideal).
  • Experience in the print industry (ideal).
  • Remote work experience, managing a remote team.
