Career Opportunity

As the Operations and Special Projects Manager at PracticeTek you will lead critical initiatives and analyze key performance indicators (KPIs) to enhance operational effectiveness within the Customer Success organization. This role involves planning, executing, and delivering strategic projects, leading a small team of 2-4 and collaborating with cross-functional teams. You’ll also provide data-driven insights, focusing on customer support, onboarding and data conversion, to identify opportunities for optimization and drive continuous improvement, while leveraging artificial intelligence to gain operational efficiencies. This person will also serve as a trusted partner to leadership, taking on greater responsibilities and evolving into a more prominent role as they develop and advance within the company.

Operations

Areas of Accountability:

  • Generate and analyze key performance indicators (KPIs) to measure business performance: Develop and maintain a comprehensive set of KPIs to measure operational effectiveness and efficiency.
  • Provide meaningful insights: Collect and analyze data related to customer success operations to identify patterns, trends, and areas for improvement based on data analysis.
  • Reporting and Communication: Prepare regular reports, dashboards and presentations to communicate insights and recommendations to management and stakeholders. Present findings, progress, and improvement initiatives in meetings.
  • Data modeling and visualization: Utilize data modeling techniques to create models, charts and graphs that effectively communicate complex data sets to business stakeholders.
  • Profit-minded approach: Identify opportunities for cost reduction and operational efficiency improvements through data analysis and collaborate with relevant stakeholders to implement appropriate measures. Focused on improving financial performance and contributing to overall business profitability.

Special Projects

  • Lead the planning, execution and monitoring of special projects, ensuring that they are delivered on time, within scope and on budget.
  • Collaborate with senior management and the executive leadership team to align projects with the organization’s strategic objectives, identifying key deliverables and milestones.
  • Coordinate with cross-functional teams, including departments such as sales/marketing, engineering, business intelligence and finance, to ensure seamless project execution and alignment with various stakeholders.
  • Proactively identify project risks and develop mitigation strategies.
  • Monitor and report on initiatives progress to stakeholders, addressing issues and making adjustments as needed.

Competencies For Success

  • Bachelor’s degree in operations management, business analytics, computer science, mathematics, statistics or a related field required. MBA is a plus.
  • 2 – 5 years of experience in project management, operations, and/or business analysis, with a proven ability to lead complex projects and deliver results.
  • Proficiency in data analysis and the ability to use data-driven insights to inform decision-making.
  • Proficiency in data analysis tools, techniques, and software, including advanced Excel functions and data visualization tools (e.g., Tableau, Salesforce).
  • Experience with Salesforce and other Customer Success software systems is preferred.
  • Prior experience in a healthcare, SaaS or technology environment is preferred but not required.
  • Ability to think strategically, align projects with organizational goals, and make decisions that contribute to overall business success.
  • Flexibility and adaptability to work in dynamic environments and manage projects across various industries and domains.
  • Continuous learning mindset to stay updated with industry trends and emerging analytics techniques.
  • Strong project management, strategic thinking, and problem-solving skills are essential for success in this role.

At PracticeTek we carefully consider a wide range of compensation factors to determine our offers of employment. This includes internal and external market factors as well as your individual experience and skills. These considerations can cause compensation to vary but we reasonably expect to pay between $64,350 – $160,000 for this position.
