As a Pay & Bill Administrator, you will play a pivotal role in ensuring the accurate and timely processing of payroll and billing activities for educational professionals. Your strong organizational skills, attention to detail, and ability to collaborate will contribute to the seamless operations of our agency.
Key Responsibilities

  • Payroll Management:

    • Process weekly payroll for teachers, teaching assistants, and support staff.
    • Calculate and verify timesheets, overtime, and additional payments for accuracy.
    • Approve and chase timesheets to meet weekly payroll deadlines.
  • Billing & Invoicing:

    • Generate and distribute accurate invoices to schools and clients.
    • Monitor payment schedules and collaborate with the finance manager to manage accounts receivable.
    • Perform credit control by monitoring debtor account balances, reducing DSO days, and chasing clients for payments.
  • Customer & Stakeholder Engagement:

    • Provide exceptional service to internal staff and external clients, addressing inquiries promptly.
    • Collaborate with schools, teachers, and other stakeholders to resolve payroll or invoice-related discrepancies.
    • Partner with recruitment teams to ensure accurate employee data and effective communication on pay-related matters.
  • Process Improvement:

    • Suggest innovative ways to enhance payroll and billing efficiency and accuracy.

Requirements

  • Previous experience in pay and bill administration, preferably within the education sector or recruitment agency environment.
  • Proficiency in Microsoft Office, especially Excel.
  • Strong numerical and analytical skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, with confidence in interacting with internal and external stakeholders.
  • Ability to manage multiple tasks and priorities in a fast-paced, deadline-driven environment.
  • High level of discretion and integrity when handling sensitive payroll and financial information.
  • Proactive, collaborative mindset with the ability to work independently and as part of a team.
