Project Associate (Full-Time Employment)
Food for Climate League is a trailblazing, women-led 501c3 research collaborative, founded with seed funding from the Food program at Google, working to make climate-smart food choices the norm.
The Project Associate will support internal operations by managing and coordinating cross-departmental projects. This position ensures that internal initiatives are executed effectively and on time. This includes 1.) Assisting our Director of Content and Communication in managing communications projects such as our annual report or website refresh; 2. ) Assisting our Director of Operations in implementing and managing resources for people and process management; and 3.) Overseeing or leading internal projects such as developing knowledge management tools or managing internal research projects to support our research teams. The ideal candidate is highly organized, proactive, and skilled at balancing multiple priorities.
The negative impacts of climate and nutrition access disproportionately impact the most marginalized people in society, including people of color, people from working-class backgrounds, and LGBTQ people. Because we believe that these communities must be centered in the work we do, we strongly encourage applications from people with these identities or who are members of other marginalized communities.
Role and responsibilities
Key Responsibilities:
- Project Management:
- Coordinate internal projects, including, operations projects such as drive organization, hiring, retreat planning, and communications initiatives such as the Annual Report.
- Develop project plans, timelines, and deliverables in collaboration with relevant stakeholders.
- Track progress, manage dependencies, and ensure timely completion of milestones.
- Process Improvement:
- Support the integration and optimization of organizational tools (e.g., Asana, Dovetail).
- Maintain and document standard operating procedures for internal processes.
- Document and update standard operating procedures (SOPs) and processes.
- Ensure access and usability of all necessary tools for team members.
- Regularly socialize and train team members on updated processes, tools, and SOPs.
- Cross-Departmental Coordination:
- Act as a liaison between departments to ensure alignment and collaboration on internal projects.
- Facilitate non-project-related team meetings, prepare agendas, and follow up on action items.
- Support onboarding processes for new employees to ensure a smooth integration
- Support employee review processes, including planning of performance evaluations and preparation of feedback mechanisms.
- Support for Leadership:
- Provide regular updates to senior leadership (e.g., Director of Finance and Operations, Director of Programs, Director of Content and Communications) on internal project progress and challenges.
- Assist with other operational priorities as assigned by the leadership team.
- Administrative and Logistical Support:
- Assist in managing contractor invoicing and ensure timely and accurate processing.
- Collaborate with the Director of Operations to support budgeting and expense tracking.
- Coordinate internal events such as team retreats or strategy workshops.
- Plan and coordinate team events and engagement activities to foster a positive work environment.
- Implement strategies to enhance team cohesion and morale.
- Manage task tracking and resource allocation for internal initiatives.
Requirements:
- At least 3 years of proven experience in project management, operations, process management, or a similar role
- Bachelor’s degree in project management, business administration, or a related field.
- Nonprofit experience a plus
- Strong project planning and organizational skills
- Proficiency in creating detailed project plans, timelines, and schedules that outline all project phases
- Strong ability to prioritize tasks and projects, ensuring that key objectives are met on time
- Experience with tools like Gantt charts or software (e.g., Trello, Asana, or Monday) to track project milestones and deadlines
- Ability to identify and manage expectations of key stakeholders, clients, and team members
- Ability to delegate tasks effectively, ensuring team members are aligned with project goals and responsibilities
- Takes initiative and can work independently—a self-starter and idea generator
- Ability to organize and prioritize workload
- Attention to detail, organizational skills, and flexibility in managing multiple tasks
- Excellent communication skills, both written and verbal
- Ability to present information concisely and effectively, both verbally and in writing
- Experience executing events; assist in planning, coordination of details, and ensuring revenue goals are met
- Proficiency in Google platforms
- Excellent interpersonal skills
- Commitment to working collaboratively with a small team of motivated individuals

Start Date: February 2025
Salary: $65,000 to $70,000, depending on experience and qualifications
Location: Hours: Full time
