Overview
Our client is looking for a Project Coordinator to join their operations and delivery department. This role focuses on three key areas: securing rebates, ensuring warranties, and managing special projects. Ideal candidates are highly organized, detail-oriented, and thrive in fast-paced environments, providing excellent customer support.
Responsibilities
- Rebate Management:
- Collect and organize all required documentation for customer rebates, including outreach to homeowners and collaboration with internal teams.
- File rebate submissions for utility and municipal electrification projects.
- Warranty Process Management:
- Ensure timely and accurate updates on warranty claims for both internal and external stakeholders.
- Special Projects and Data Management:
- Handle special projects such as research, data tracking, and customer outreach.
- Maintain and update CRM systems, dashboards, and spreadsheets to ensure accurate data management.
- Administrative Support:
- Oversee a shared dispatch email inbox and maintain organized data systems.
- Update and manage forms in Google Drive and proprietary platforms (e.g., ReTool).
- Keep customers informed about their invoicing, warranty, and rebate processes.
Requirements
- Must-Have Qualifications:
- At least 2 years of experience in a customer-facing operational role with strong attention to detail.
- Ability to manage multiple inquiries across various communication channels.
- Proficiency in data management, dashboard updates, and CRM systems.
- Strong verbal and written English communication skills.
- Ability to follow, document, and improve operational processes.
- A customer-first mindset with empathy and exceptional service skills.
- Positive attitude and eagerness to learn.
- Nice-to-Have Qualifications:
- Familiarity with document submission platforms (e.g., OEM warranties, rebate sites).
- Experience in remote work environments and communication tools.
- Background in HVAC/trades or technical support.
- Passion for climate, sustainability, and energy transition efforts.
