Overview
We are seeking a motivated and detail-oriented Project Management Coordinator (Tendering & Permits) to join our dynamic team. The ideal candidate will demonstrate strong leadership skills and a proven ability to support the management of projects from inception through to completion. This role requires excellent communication and collaboration with a variety of stakeholders to ensure project objectives are achieved on time and within scope. The Project Management Coordinator will also be responsible for coordinating resources, managing relationships with vendors, and utilizing project management tools to track progress and ensure successful outcomes.

Key Responsibilities

Tendering Process Coordination

  • Take the lead in preparing and organizing tender documents, making sure all crucial information is meticulously included and ready for submission.
  • Coordinate and track multiple tenders simultaneously, ensuring deadlines are met while maintaining high standards of accuracy.

Subcontractor and Supplier Communication

  • Contact and communicate with subcontractors and suppliers to request bids, ensuring effective and timely responses.
  • Collect, organize, and compare bid submissions to determine the most competitive and suitable options.
  • Ensure subcontractors submit their bids on time and follow up proactively to maintain the schedule.

Bid Document Preparation

  • Assist in the preparation of formal bid documents, making sure everything is formatted and presented according to client requirements.
  • Ensure all bid-related documentation (contracts, pricing, schedules) is complete, accurate, and properly organized before submission.

Bid Analysis

  • Help review and analyze bid submissions, comparing subcontractor pricing, qualifications, and timelines to select the best option.
  • Assist in identifying the most competitive bids that meet project requirements and add value to the project.

Collaboration with Estimators

  • Work closely with estimators to provide them with the necessary information from subcontractors and suppliers.
  • Ensure that all cost components are accounted for in the final bid, contributing to competitive and accurate pricing.

Permits Coordination

  • Assist in the application and management of permits required for projects, ensuring all submissions are timely and compliant.
  • Track the progress of permit approvals, ensuring any issues are addressed promptly to avoid delays.

Documentation and Record-Keeping

  • Maintain detailed records of all tender documents, bid submissions, permits, and communications with subcontractors.
  • Track the progress of ongoing tenders and permits, maintaining a central repository for easy access and reference.

Post-Bid Coordination

  • Assist in the transition from bidding to project execution, ensuring that all relevant documents and agreements are in place for awarded contracts.
  • Coordinate with the project manager to facilitate a smooth handover of information and requirements.
