Overview

We are seeking an enthusiastic and detail-oriented Assistant Director of Scheduling to become a vital member of our dynamic team. In this critical role, you will manage the administrative functions of the Scheduling & Events department, collaborating closely with the Director to refine resource allocation and streamline operational workflows. Your leadership will foster an environment of transparency, ensuring that diverse stakeholder needs are met within a vibrant performing arts setting.

Key Responsibilities

  • Supervise the scheduling and booking administrative team, ensuring the precision and effectiveness of our Master Calendar for ongoing campus activities.
  • Oversee space usage approvals and improve communication processes to maximize the utilization of venues, ensuring successful events and seamless operations.
  • Partner with the Director as a System Administrator of Momentus Elite, guiding the software implementation and integration for scheduling and event management.
  • Develop and enhance departmental reference materials and documentation to facilitate effective coordination of space bookings.
  • Create pricing structures and workflows that support the expedited booking of third-party events, contributing to revenue generation.
  • Mentor and guide direct reports, nurturing a culture of teamwork and exceptional performance.
  • Work collaboratively with Events and Marketing teams to ensure effective communication and cohesive workflows for event planning.

Required Skills

  • Minimum of 7 years of experience in venue and event management, preferably within large or multi-use venues.
  • Strong command of Microsoft Office Suite.
  • Excellent verbal and written communication abilities, with a talent for conveying complex information clearly.
  • A passion for the arts and a dedication to providing outstanding guest experiences.
  • Exceptional organizational skills with a keen eye for detail, enabling success in a fast-paced environment.
  • Familiarity with VenueOps/Momentus Elite software is advantageous.
  • Knowledge of backstage operations and union environments is highly desirable.

Qualifications

  • Bachelor’s degree or equivalent professional experience is required.
  • Must be willing to work evenings, weekends, and holidays as necessary to meet event schedules.

Compensation And Benefits

  • Salary range: (95,000 to )110,000/year
  • Full-time, exempt position (35 hours/week, typically Monday to Friday, 9 am – 5 pm, with flexibility for events).
