POSITION SUMMARY:
The Canadian Public Safety Operations Organization (CanOps) (http://www.canops.org/) was established in 2014 as a not- for- profit organization focused on advancing public safety for all Canadians from coast to coast to coast.
CanOps provides innovative public safety solutions and services across Canada by bridging people, communities, industries, and governments with the resources they need, bringing individuals and organizations to the table to partner on public safety issues.
CanOps seeks a conscientious individual who will support the project management team in the planning, execution, and monitoring of a multi-stakeholder national search and rescue data project.
This role will include ensuring that team members are supported and collaborating to work effectively and efficiently and meet deadlines, as well as liaising with internal staff and external stakeholders, document writing, tracking project progress, and completing other project-related tasks, and may include occasional travel.
PRIMARY RESPONSIBILITIES:
Administrative:
- Assist in the preparation of project plans, schedules, and budgets, utilizing project management software.
- Maintain and organize project documentation, including contracts, reports, and meeting minutes.
- Schedule and coordinate project meetings, ensuring all stakeholders are informed of updates and deadlines.
- Take meeting minutes and follow up on action items for internal and stakeholder meetings.
- Track progress and report issues to the project manager.
- Conduct research and prepare documents for project stakeholders and committees.
Communication and Coordination:
- Act as a liaison between project team members, clients, and external stakeholders.
- Ensure project timelines are met by tracking progress and notifying team members of deadlines.
- Prepare and distribute project-related communication, such as progress reports and status updates.
- Handle correspondence related to project activities.
Data Management:
- Maintain project tracking systems, ensuring accurate data entry and updates.
- Assist with data collection, analysis, and reporting to project stakeholders.
- Help with the preparation of project documentation, presentations, and other project deliverables.
Logistical Support:
- Coordinate travel arrangements for team members, if needed.
- Work with travel coordinator to make arrangements.
- Order supplies and equipment for the project team.
- Help with organizing in-person meetings, events, or workshops, related to the project.
Monitoring and Reporting:
- Track project milestones and deliverables, ensuring they are completed on time.
- Support the project manager in identifying and resolving issues that may impact project timelines, as well as identifying opportunities for the project.
- Assist in preparing regular reports on project progress for senior management.
- Support financial processes and assist with budget and expense logging.
Other duties as assigned.
QUALIFICATIONS:
- A high school diploma or equivalent.
- Relevant education and/or experience as a Project Assistant is considered an asset.
- Knowledge of project management principles.
- Proficient in MS Office and project management software.

POSITION DETAILS:
- Remote work; May require occasional travel for project-related tasks or meetings.
- Term Full-time position (1950 hours annually)
- 8-hour day; Monday through Friday
- Earned Day Off every 3 weeks
- Term Start Date: February 1, 2025 – Term End Date: December 31, 2027
Job Types: Full-time, Fixed term contract
Contract length: 22 months
Pay: $55,662.10-$67,000.18 per year
