The Administrative Coordinator provides administrative support to all staff in an IT department. The incumbent works independently and has sufficient knowledge of all related key projects and program initiatives within the department. The Administrative Coordinator reconciles budget and invoices as well as determining financial projections for the department.
How You Will Create Impact
- Assist or compose accurate status reports for various projects/programs/IT activities that are shared inside and outside the IT Department i.e. various cost reports, audit and remediation responses, project updates, etc.
- Organize, develop efficient data management systems and maintain various audit artifacts, device inventories, process documentation, etc. Handle department email box and assign tasks to team; work with other IT teams to provide information and direction.
- Work with service partners in reference to requests for service and other related matters.
- Coordinate and prepare monthly operational review updates for senior management and executive, both operations and projects;
- Exercise sound judgment and discretion in the collection and dissemination of information; ensure that highly sensitive, proprietary, and confidential information is released only to those authorized.
- Assist in completion of monthly and annual budget reports.
- IT vendor invoicing including preparation and reconciliation. Work with IT Finance to remedy any concerns.

To Join Our Team
- You have 2-3 years of experience in an administrative support role.
- You have completed post-secondary education in Business, Communications, Administration or Finance.
- Having insurance and/or co-operative industry knowledge is an asset.
- Reasonably skilled in technology and software relating to communication, presentation, audiovisual, and virtual meetings.
- Working knowledge and competency in the use of email, Internet, MS Office (Excel, Word, Visio, PowerPoint, Access).
- Ability to work with people with varying levels of technical and business experience.
- Strong numeric skills and reasoning abilities.
- Excellent written and verbal communication skills. Developed interpersonal skills for working in a team environment.
