Key Responsibilities
- Lead and manage the planning and execution of events, collaborating with the Senior Director of Sourcing & Contracting to choose appropriate venues, including conducting site visits.
- Supervise registration materials, front-of-house operations, and temporary personnel, providing instructions and guidance as needed.
- Oversee arrangements such as room blocks, menu selections, meeting specifications, accommodations, AV equipment, and banquet event orders.
- Prepare necessary on-site materials, including signage and attendee packets.
- Partner with cross-functional teams to ensure seamless onsite planning, production, staging, content delivery, and audiovisual requirements.
- Direct pre-production and rehearsal meetings, along with on-site operations, ensuring exceptional service alongside other planners, speaker coordinators, and temporary staff.
- Maintain precise records of hotel and meeting information within the CRM database.
- Support the Associate Director of Meeting Planning Services during larger meetings.
- Audit venue and vendor invoices, and conduct event wrap-up activities, including budget reconciliation and administrative filing.
- Continuously seek opportunities to enhance processes and improve customer experiences.
Required Skills
- Minimum of 5 years of experience in meeting or event planning.
- At least 3 years of experience in budgeting, forecasting, and invoice reconciliation.
- A minimum of 2 years in the hospitality sector or managing hotel vendors.
- Proven negotiation skills for contract terms and pricing.
- Strong interpersonal and communication abilities.
- A self-starter with collaborative, flexible, and innovative problem-solving skills.
- Exceptional organizational capabilities and attention to detail; proficiency with technology.
- Capacity to manage multiple projects independently and simultaneously.
- Outstanding prioritization and time management skills, consistently meeting deadlines.
- Proficient in Microsoft Office; experience with Teams and SharePoint is a plus.
- Familiarity with CRM and event technology is preferred.
Qualifications
- A Bachelor’s degree is preferred but not mandatory.
