Overview
The Travel Desk Employee will be responsible for managing and coordinating all travel arrangements for employees within the company. This role demands a high level of organization, attention to detail, and excellent communication skills to ensure seamless travel experiences. The ideal candidate should possess a strong understanding of corporate travel policies and be adept at handling various travel-related tasks efficiently. Also should be open to work in night shift.
Key Responsibilities
Travel Arrangements
- Coordinate domestic and international travel arrangements for employees, including flights, accommodations, car rentals, and other transportation needs.
- Ensure all travel bookings comply with the company’s travel policy and budget guidelines.
- Negotiate with travel vendors to secure the best rates and services.
- Assist employees in obtaining necessary travel documents, such as visas and passports.
Itinerary Management
- Prepare and distribute detailed travel itineraries to employees, ensuring all necessary information is included, such as flight details, hotel reservations, and contact information.
- Monitor and update travel itineraries as needed, promptly informing employees of any changes or disruptions.
Expense Management
- Track and manage travel expenses, ensuring accurate and timely processing of travel reimbursements.
- Provide guidance to employees on the company’s expense reporting procedures and policies.
Risk Management
- Monitor travel advisories and alerts, ensuring employees are aware of potential risks and safety concerns in their travel destinations.
- Assist in the development and implementation of emergency response plans for employees traveling abroad.
Customer Service
- Serve as the primary point of contact for employees regarding travel-related inquiries and issues.
- Provide exceptional customer service by addressing and resolving travel-related problems promptly and efficiently.
Qualifications
- Bachelor’s degree in Hospitality Management, Business Administration, or a related field.
- At least 2 years of experience in a corporate travel management role.
- Strong knowledge of travel booking systems and software.
- Excellent organizational and time-management skills.
- Effective communication and interpersonal skills.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Attention to detail and a high level of accuracy.
Preferred Skills
- Certification in travel management or related field.
- Experience with international travel arrangements and knowledge of visa and passport requirements.
- Proficiency in multiple languages.
- Familiarity with corporate travel policies and procedures.
Working Conditions
- Ability to work flexible hours.
