We are seeking a proactive and highly organized Virtual Assistant
with experience in supporting US-based clients. The ideal candidate should have excellent English communication skills, a customer-oriented mindset, and the ability to manage a range of administrative and client-facing tasks. You will play a key role in providing top-notch support, ensuring smooth operations, and contributing to our teams efficiency and client satisfaction.
Key Responsibilities:
– Client Communication & Support: Serve as the primary point of contact for US clients, handling inquiries via email, phone, and chat.
Ensure timely and professional responses, maintaining strong client relationships.
– Administrative Support: Manage schedules, coordinate meetings, book travel arrangements, and handle day-to-day administrative tasks to support smooth operations.
– Email & Calendar Management: Organize and prioritize emails, manage calendar appointments, send reminders, and assist in scheduling meetings with clients and internal teams.
– Document Preparation & Organization: Create, edit, and organize documents, spreadsheets, and presentations. Ensure that all documents meet company standards and are readily accessible.
– Project Coordination: Assist in project planning, keep track of deadlines, and coordinate with team members to ensure timely completion of tasks.
– Data Entry & Reporting: Input and manage data accurately in databases and CRMs. Generate regular reports on task progress, client inquiries, and relevant metrics.
– Social Media & Marketing Support: Assist in managing social media accounts, scheduling posts, and responding to client interactions as needed.
– Research & Analysis: Conduct research on various topics as requested, including market trends, competitor analysis, or client-specific information, and summarize findings in reports.
Qualifications and Skills:
– Minimum 2 years of experience as a Virtual Assistant,
Administrative Assistant, or in a similar role with US clients.
– Excellent written and verbal communication skills in English with the ability to communicate clearly and professionally with US clients.
– Proficiency in MS Office (Word, Excel, PowerPoint), Google
Workspace, and familiarity with CRM systems (e.g., Salesforce, HubSpot) and virtual communication tools like Zoom, Slack, or Microsoft Teams.
– Strong ability to multitask, prioritize tasks, and manage time efficiently in a remote environment.
– Strong client-focused attitude with the ability to handle inquiries and resolve issues professionally.
– High level of accuracy in data entry, reporting, and document preparation.
– Ability to identify issues, suggest solutions, and take initiative in addressing client needs.
– Ability to work in alignment with US time zones.
– Basic understanding of social media management and email marketing tools (e.g., Mailchimp, Buffer) is a plus.
Familiarity with CRM software for client communication and management.
