- Co-coordinator of the Reemployed Annuitant (REA) program for the Bureau of European and Eurasian Affairs (EUR) and the Bureau of International Organization Affairs (IO) employees. Provided all administrative support, obtained and updated security and ethics clearances (as needed), evaluated resumes of REA applicants to determine position, provide official offers of employment letters, give the Oath of Office to applicants during the Entry On Duty orientation, coordinate security briefings and obtain the Personal Identity Verification (PIV) ID Badge. Currently, I maintain the records for 90 Reemployed Annuitants.
- Co-developed a new Bureau Awards SharePoint program. This program is revolutionizing and simplifying the Bureau awards program for nominators and Bureau coordinators. The program is designed to provide nominators, supervisors and Bureau Awards Coordinators a single, easily navigable platform to input and visually track each nomination through the entire award process. The program goal is to minimize redundant award submissions, which currently totals over 1,800 award requests, by bureaus and posts, and time-consuming research for the awards coordinators when a nominator requests the status of an award. The program is one of a kind and other bureaus are trying to replicate our model.
- Served as the Bureau Awards Coordinator for IO. As Coordinator, I organized and hosted the IO Bureau Awards Ceremony twice a year, order all award certificates for each ceremony, prepare the talking points for the Assistant Secretary, as well as the Awards Brochure. I coordinate with the front office to schedule the Assistant Secretary’s participation in the bureau awards ceremony. As the Master of Ceremonies, it is my job to announce each award, the awardee(s) and read each citation as the Assistant Secretary presents the awardee(s) with the plaque and certificate. I schedule the auditorium; procure the necessary supplies and refreshments for the ceremony and reception from the Conference Scheduling and General Services Office respectively.
- Produced reports for upper management using Microsoft Excel to evaluate and analyze the Awards Database for efficiency and accuracy and to provide statistics. Developed recommendations to IT for upgrades/changes to the Awards Database to improve functionality, tracking, and efficiency.
- Processed personnel actions (extensions, terminations, rehires, transfers in/out, FEGLI, LWOP, Return to Duty, Service Computation Date Change), as well as, awards actions for EUR (over 2,500) and IO (over 350) employees, domestic and abroad.
- Conducted new employee orientation approximately 50 times per year for over 2,000 employees in five Bureaus. Orientation is provided for employees ranging from newly hired to the federal government to family members on limited appointments to former Ambassadors coming back as reemployed annuitants. Orientation consists of reviewing all new hire documentation (tax forms, direct deposit, etc.), authorization of I-9 Employment Eligibility form, advising on Federal Benefits programs, leave, transit subsidy program, and performing the Oath of Office.
- The Bureau POC for Time and Attendance, Financial Disclosure Management (FDM), and Federal Benefits matters. I provided expert advice and guidance on Federal benefits including financial disclosure report filing, FEHB, FEGLI, TSP, and LWOP. My knowledge of the benefits program and strong research skills enables me to assist client bureaus and fellow HR personnel with questions and concerns regarding time and attendance, calculating and recording of compensatory time for travel, health benefits, TSP, life insurance, confidential and public financial disclosure report filing, beneficiary forms and most other inquiries or issues pertaining to these programs.
- Counseled employees on TSP, FEGLI, and FEHB; make recommendations on TSP contributions and planning for retirement.
- Served as Point of Contact for Confidential and Public Financial Disclosure Report filing, and online filing system assistance. This includes Senior Foreign and Senior Executive Service employees, tenured Ambassadors, Assistant Secretaries, Schedule C appointees, Office Directors, and Executive Directors. I worked closely with the Legal Office to ensure all required filers have access to the FDM System; Legal often defers to me for determining filing requirement.
- Provided assistance and advice to customers on using Employee Express, Confidential, and Public Financial Disclosure Reporting, the awards program, properly completing Designation of Beneficiary forms. Customers range from current and former Ambassadors, Office Directors, Deputy Directors, Human Resources Officers, and other Department of State employees.
- Developed and composed Standard Operating Procedures for the Entry on Duty process, position classification tracking database, Reemployed Annuitant program, and Annual Ethics and Financial Disclosure programs for use in our office and our five client bureaus.
- Processed all position classification requests and Reassignments, Promotions, New and Rehire personnel actions into a tracking database; maintained and tracked these actions and requests from start to finish for over two years.
- Ran weekly reports of all classification requests and personnel actions uploaded to our tracking database for senior management.
- Conducted training for Department of State employees, Foreign Service Nationals and Family Member Appointment employees during a week-long training session in Frankfurt, Germany in September 2013. The presentations covered FEHB, FEGLI, and TSP. I received 95% positive feedback on my presentations for this training.
